From time to time, we make our customer e-mail database available to other reputable organisations whose products or services we feel you might find interesting or beneficial. If you do not want us to share your e-mail address with other companies or organisations, please contact your account manager and advise them of such a request and your details will be automatically removed from such databases.

How your data and the information you provide us with is used by Ideasbynet Limited.
Ideasbynet requires very little in the way of personal data. It collects business critical information only, in order to perform its function of supplying products branded in line with the client’s instructions and delivered to fulfil the client’s logistical needs. Ideasbynet takes your privacy seriously and also that of the organisation you may represent. The information below sets out Ideasbynet’s data protection policy. It must be emphasised that the information used by Ideasbynet is solely for the purpose of providing an ultra fast and efficient service to its clients. It is in every sense of the word, client-centric in its aims.

3. Ideasbynet’s reasons for holding this data
Ideasbynet only hold or requests data for business purposes as detailed above. In regards to our use of this data with you or on your behalf Ideasbynet would do so for the following reasons:
Having been given your consent - in regards to communications or marketing
Fulfilling contracts - in regards to processing orders, quotes and other product based information
Our legitimate interests - in regards to contacting you about products you may find of interest, samples, visuals produced with your logo, developments in the industry and storing your data for these aforementioned purposes.
4. Ideasbynet Doesn’t Sell or Share Client Data
Ideasbynet takes your privacy seriously and will never share or sell your data with third parties for marketing/ communications purposes. We do share data under the following notable exceptions:
Your name and the organisation you represent will be retained offline in the event that you request deletion of your details. This information will be retained as proof that your request has been processed by Ideasbynet’s management.
Third Party Suppliers: Ideasbynet in transaction of its duties outsources to reliable supply partners on an ongoing basis. In so doing it provides to said third parties the following client data:
The client’s logo/ artwork
The client’s name and delivery address details
The aforementioned supply partners will have provided Ideasbynet with written assurances (at senior management levels) that the client’s data will be deleted and removed once the transaction has been completed to the client’s satisfaction and the account paid in full. Without the ability to place orders with third party suppliers Ideasbynet would in many cases be unable to fulfil its clients contracts.
Ideasbynet reserves the right to disclose your personally identifiable information to 3rd parties in the event that Ideasbynet is acquired by said third party or as part of a due diligence process prior to a business takeover. In which case Ideasbynet may disclose your personally identifiable information to the buyer or potential buyer of such business or assets if it is specifically relevant to them. This would be undertaken under UK Law and your your rights and freedoms would not be overridden.
5. How Long Ideasbynet Holds Your Data For
The criteria that we use to determine retention periods will be determined by the nature of the data and the purposes for which it is kept. For example, if Ideasbynet receive your Information through our account quote form, we will retain your data for as long as is necessary to administer the account, process any orders, and provide the client with the ability to view their account history and reorder without the need for re-entering data. By law Ideasbynet are required to retain certain data indefinitely in order to comply with our obligations under GDPR or other legislation, or for fraud detection purposes.
6. Your Rights In Regards To Your Data
As per the GDPR guidelines you have the following rights in regards to your data - Ideasbynet will require proof of your identity before Ideasbynet are able to act on your request
- The right of access - Individuals have the right to access their personal data and supplementary information.
- The right to rectification - The right for individuals to have inaccurate personal data rectified, or completed if it is incomplete.
- The right to erasure - the right for individuals to have personal data erased.
- The right to data portability - the right for individuals to obtain and reuse their personal data for their own purposes across different services as outlined in Section 1.
Exceptions - Ideasbynet accepts that the client owns the copyright to their logo and branding whereas Ideasbynet claim copyright to any artwork produced by Ideasbynet . As such this would not be covered by the right to data portability.
On returning the clients logo, files will be returned in the format in which it was originally supplied.
- The right to object - Individuals have the right to object to the processing of their Information by contacting Ideasbynet. For example, if Ideasbynet are processing your Information on the basis of Ideasbynet’s legitimate interests and there are no compelling legitimate grounds for our processing which override your rights and interests. You also have the right to object to use of your Information for direct marketing purposes.
7. Financial Data and Security
It is important to note that the way in which Ideasbynet is structured requires no payment information from clients. Payments are made either as BACs transfers with financially sensitive information shared only between the client and their bank or through Sage Pay where the clients financial data is encrypted by Sage and neither seen nor collected by Ideasbynet.
In order to keep its clients in the loop with new ideas and innovations happening within the marketing gift sector, Ideasbynet will contact its clients occasionally throughout a calendar year. Typically Ideasbynet’s designers may develop bespoke ideas and share visuals with clients in the form of emails or print outs delivered through the post. Equally Ideasbynet may send out samples of products it deems to be suitable to the client and email or post out relevant offers and new product information. In its sector, Ideasbynet’s point of difference is that no two client experiences are the same. Each web page is designed to be personalised to each client - reflecting their unique branding, their market sector and their colour scheme. This bespoke ethos is carried through in every aspect of communication and media. Ideasbynet feel that in every sense that this is an individual tailored approach and not spam one-size-fits-all. If Ideasbynet were to approach a new client, it would take time to prepare ideas and visuals bespoke to that client and only then make contact as deemed to be of legitimate interest.
9. Email usage
By signing up for an account with Ideasbynet you agree to the use of your email address for both day to day business correspondence (eg. order confirmations, despatch notes, etc.) and for related matters. If you wish to no longer be contacted by Ideasbynet for order related emails you may close your account by contacting your account manager. We will however ask for consent with regards to sending marketing related emails and media.
A phrase used throughout the Ideasbynet website (relating to GDPR) is “related matters”. Ideasbynet intend this to be a catch all phrase referring to providing the client with marketing ideas, new product information, new pricing, offers and other information. Ideasbynet interpret this to fall within the GDPR guidelines as “legitimate interest”.
10. Your Rights As An Agency Adding Logos on behalf of third party clients
Agencies and consultants are expected to work with their clients within the GDPR structure outlined above. It is incumbent upon them to arrange and receive all relevant consents and permissions from their clients relating to copyrighted branding and personal information. It is further incumbent upon them to be able to provide evidence of this information if requested by Ideasbynet. By requesting a quote from Ideasbynet and sharing data you will be deemed to have accepted the points covered in this section and in the event of dispute accept full responsibility for any and all information placed on Ideasbynet.
11. Proof of Consent
Proof of consent is an important cornerstone of the GDPR legislations. Ideasbynet allows its clients to opt-in, opt-out or delete details. This is performed by requesting an account manager to alter permissions or by filling in a consent form via Email. Given consents are recorded against your account via date stamp. Ideasbynet’s secure back end has been created in such a way that neither Ideasbynet’s staff nor its senior management has sufficient access privileges to alter these permissions. In theory, the only people with this access would be the coders responsible for Ideasbynet. They in turn have signed agreements to confirm they would not access clients privacy consents.
